Setting Up Office 365 E-mail on iPhone and iPad

This guide will help you configure your Office 365 email account on your iPhone or iPad.
We’ll cover setup in:

  • Microsoft Outlook for iOS (recommended)

  • Apple Mail app (built-in)

  • Gmail app

  • Other popular iOS email apps (using IMAP/SMTP settings)


1. Set Up Office 365 in the Microsoft Outlook App (Recommended)

The Outlook app for iOS is the best way to access your Office 365 mailbox, with full support for email, calendar, and contacts.

  1. Download the Microsoft Outlook app from the App Store.

  2. Open the app and tap Add Account.

  3. Enter your full Office 365 email address (e.g. yourname@yourdomain.com) and tap Continue.

  4. Enter your password and tap Sign In.

  5. Approve any Multi-Factor Authentication (MFA) or security permissions.

✅ Your Office 365 account is now configured in Outlook for iOS.


2. Set Up Office 365 in the Apple Mail App (Built-In)

You can also add your Office 365 email directly to the built-in Mail app on iOS.

  1. On your iPhone or iPad, go to Settings > Mail > Accounts.

  2. Tap Add Account.

  3. Select Microsoft Exchange.

  4. Enter your Office 365 email address and a description (e.g. Work Email), then tap Next.

  5. Choose Sign In when prompted.

  6. Enter your password and complete any MFA prompts.

  7. Select which data you’d like to sync (Mail, Contacts, Calendars, Reminders, Notes).

  8. Tap Save.

✅ Your Office 365 mailbox will now sync with the Apple Mail app.


3. Set Up Office 365 in the Gmail App (iOS)

The Gmail app supports Office 365 accounts through Exchange/Outlook login.

  1. Download the Gmail app from the App Store if not already installed.

  2. Open Gmail and tap your profile icon (top right).

  3. Tap Add another account.

  4. Choose Outlook, Hotmail, and Live.

  5. Enter your Office 365 email address and password.

  6. Approve any MFA or permission prompts.

✅ You can now send and receive Office 365 emails inside the Gmail app.


4. Set Up Office 365 in Other iOS Mail Apps (Manual Setup)

For alternative apps such as Spark, Airmail, BlueMail, or Edison Mail, you may need to set up your account manually using IMAP/SMTP settings.

Incoming Mail (IMAP)

  • Server: outlook.office365.com

  • Port: 993

  • Encryption: SSL/TLS

  • Username: Full Office 365 email address

  • Password: Your email password

Outgoing Mail (SMTP)

  • Server: smtp.office365.com

  • Port: 587

  • Encryption: STARTTLS/TLS

  • Username: Full Office 365 email address

  • Password: Your email password

  1. Open your chosen app and go to Settings > Add Account.

  2. Select Manual Setup (IMAP/SMTP).

  3. Enter the details above and tap Save.

✅ Your Office 365 account is now set up in your preferred iOS email client.


Troubleshooting Tips

  • If setup fails, double-check your email and password.

  • If your organisation enforces Multi-Factor Authentication (MFA), you may need to generate an App Password via your Microsoft 365 account.

  • Ensure iOS and your email apps are updated to the latest versions.

  • If syncing issues persist, try removing and re-adding the account.


✅ That’s it! You can now use your Office 365 email on your iPhone or iPad with Outlook, Apple Mail, Gmail, or any other iOS email app.
