Setting Up Office 365 Email on Windows Devices

If you’re using Office 365 for email, you can easily add your account to your Windows computer. This guide walks you through adding your Office 365 mailbox to Windows Mail, Outlook, Gmail, and other common email applications.


1. Add Office 365 Email to Windows Mail (Built-In App)

  1. Open the Mail app on your Windows device.

  2. Select Accounts from the left menu.

  3. Click Add account.

  4. Choose Office 365 from the list.

  5. Enter your full email address (e.g., yourname@yourdomain.com).

  6. Enter your password and click Sign In.

  7. Accept any permissions or prompts.

✅ Your Office 365 mailbox will now sync with Windows Mail.


2. Add Office 365 Email to Microsoft Outlook

If you use Outlook (part of Microsoft Office), setup is quick:

  1. Open Outlook.

  2. Go to File > Add Account.

  3. Enter your Office 365 email address.

  4. Click Connect.

  5. Enter your password when prompted.

  6. Click Finish.

✅ Your mailbox will automatically sync, including emails, contacts, and calendar.


3. Add Office 365 Email to Gmail (Desktop/Web)

You can access your Office 365 emails inside Gmail:

Option A: Import into Gmail

  1. Open Gmail in your browser.

  2. Click the gear icon > See all settings.

  3. Go to the Accounts and Import tab.

  4. Under Check mail from other accounts, click Add a mail account.

  5. Enter your Office 365 email address.

  6. Choose Import emails from my other account (POP3).

  7. Enter the following settings:

    • Username: Your full Office 365 email address

    • Password: Your email password

    • POP Server: outlook.office365.com

    • Port: 995 (SSL required)

  8. Save changes.

Option B: Send as Your Office 365 Address

  1. In Gmail settings, under Accounts and Import, go to Send mail as.

  2. Add your Office 365 email.

  3. Enter:

    • SMTP Server: smtp.office365.com

    • Port: 587 (TLS required)

    • Username: Your full Office 365 email address

    • Password: Your password

  4. Confirm ownership via the email verification code.

✅ You can now both send and receive Office 365 emails in Gmail.


4. Add Office 365 Email to Other Email Apps (IMAP/SMTP)

For other desktop clients (Thunderbird, eM Client, etc.), use the following manual settings:

Incoming (IMAP):

  • Server: outlook.office365.com

  • Port: 993

  • Encryption: SSL/TLS

  • Username: your full email address

  • Password: your email password

Outgoing (SMTP):

  • Server: smtp.office365.com

  • Port: 587

  • Encryption: STARTTLS/TLS

  • Username: your full email address

  • Password: your email password


Troubleshooting Tips

  • If login fails, make sure your Office 365 account is active and your password is correct.

  • Some organisations require Multi-Factor Authentication (MFA). In this case, you may need to generate an App Password in your Microsoft 365 account.

  • If using Gmail import, note that it may take some time to fetch all your emails initially.


✅ That’s it! You’re now set up to send and receive your Office 365 emails on your Windows device, Gmail, or any other email client.
